# Find donors

> Narrowing the donor list by name, tag, campaign, audience, amount, note or date, and exporting what you find.

Source: https://donorcare.my/help/organizations/donors/find-donors/

**Who can do this:** Owner, Admin, Finance, Member, Viewer

The donor list can be narrowed by name, tag, campaign, audience, total donated, notes and the dates people gave, and the Export menu then downloads exactly the list you are looking at.

## Before you start

- Open **Donors → All Donors**. Every filter sits in the two rows above the table.
- Filters combine: a donor must match all of the ones you set.

## Steps

1. **Search by name or email.** Type in the **Search...** box at the top of the table.

2. **Filter by tag.** Open **Tags** and tick one or more tags. A donor is shown if they carry any of the ticked tags.

3. **Filter by campaign.** Open **All campaigns** and choose a campaign to see the donors who gave to it. Only completed gifts count: a failed, pending or test-mode gift does not make someone a donor of that campaign.

4. **Filter by audience.** Open **All audiences** and choose one of your [audiences](https://donorcare.my/help/organizations/donors/build-an-audience/) to see its members.

5. **Filter by total donated.** Enter a figure in **Min RM**, **Max RM** or both. Press Enter or click out of the box to apply it. The amount is the donor's total given, not a single gift.

6. **Search notes.** Type a word in **Search notes** to find donors whose notes your team wrote that contain it.

7. **Filter by date.** Use the date range picker to choose quick ranges such as Last 30 days, This month or Last 3 months, or set a From and To date. The list then shows donors who made a completed gift in that range. A donor whose only gifts fall outside it drops out.

8. **Check what is on.** A "Filtered view" banner appears whenever a filter other than search is set. Select **Clear all** on the banner to remove them all at once.

## Export what you found

Select **Export** above the table.

- **Export all** appears when no filter is set and downloads every donor.
- **Export filtered** appears when any filter or search is on and downloads only the donors that match, not just the page you can see.
- **Export selected (N)** appears after you tick rows, and downloads only those donors. If you have ticked too many for one file, the menu offers **Export filtered** instead.

The file is a CSV with one row per donor: name, contact details, totals, first and last gift, engagement score, churn risk, whether they give by recurring gift, and tags. It does not include notes or tax details. A file holds up to 10,000 donors; if more match, DonorCARE says so and you can narrow the filters to export the rest.

For a complete copy of all your data, use the Full Data Export instead — see [Export your data](https://donorcare.my/help/organizations/finance/export-your-data/).

## If something goes wrong

| What you see | What it means | What to do |
|---|---|---|
| The list is empty after a filter | No donor matches every filter you set, or the donor has no completed gift in the chosen campaign or dates | Select **Clear all** and add filters back one at a time |
| A donor who gave recently is missing from a campaign or date filter | Only completed gifts count, so a gift still pending or failed is not included | Check the gift's status on the donor's Giving tab |
| A notes search finds nobody | It searches only notes your team has added to donors, not names or emails | Use the search box at the top for names and emails |
| "Exported the first 10,000" | More donors matched than one file holds | Narrow the filters and export again |
