Read a donor profile

A donor’s profile page is one record split into four tabs, plus a header that never changes — knowing what each part is telling you is the difference between a quick check and a wrong assumption.

Everything about a donor — their giving, their family, their tax profile, their history with your organisation — lives on one page so you never have to piece a person together from several screens. The tabs exist so a screen full of giving charts doesn’t bury the one contact detail you actually came for.

Header and KPI strip — always visible above the tabs: total donated, number of donations, average gift, campaigns supported, and days since their last gift. This is the quick read before you open a tab.

Possible Duplicates panel — appears above the tabs only when DonorCARE finds another donor record in your organisation sharing this one’s phone, email, identity number, or name. It’s your entry point into merging — see Merge duplicate donors.

Overview tells you who this donor is and what you know about them: contact details, their tax and identification profile if your plan includes MyInvois, any notes your team has added, and a plain-language read on how engaged they seem (their donation count, how recently they gave, and how many campaigns they’ve supported). Use it as your at-a-glance summary — for the precise, comparable Score and Risk figures used elsewhere in DonorCARE, see How we measure donor behaviour; the label shown here is a simpler, standalone read and the two are not the same number.

Giving shows this donor’s lifetime value over time: total donated, donation count, average gift, a predicted annual figure once enough history exists, and a month-by-month trend chart. Use it to see whether a donor’s giving is growing, flat, or shrinking, and roughly how often they give.

Family lists the living and deceased family members recorded against this donor — mostly filled in automatically from ritual or memorial donation entries, but you can add names by hand here too. Use it when preparing a tablet or ceremony that needs a full household or lineage.

Activity is a timeline of everything that has happened on this record: donations, emails sent, notes added, tax profile changes, receipts issued, and recognition milestones, newest first. Use it as your first stop when a donor calls asking “did you get my last gift” or “why haven’t I heard from you.”

Do

  • Check the Activity tab before telling a donor their gift wasn’t received — it often already has the answer.

Don’t

  • Read the Overview tab’s engagement label as the same figure that drives Score and Risk on the donor list — it’s a simpler, separate read on the same person.
