Export to SQL Accounting
The SQL Accounting Import turns your donations into official receipt documents your accountant loads straight into SQL Accounting — no re-typing.
Before you start
Section titled “Before you start”- Ask an Owner to turn this export on in your organisation’s settings — it’s off until then.
- Every donation to be exported must be in Malaysian Ringgit. A range containing any other currency is blocked entirely, so it’s worth exporting one currency’s donations at a time if you take more than one.
-
Open Finance → Exports, and select SQL Accounting Import.
-
Set the date range you want to cover.
-
Select Preview. DonorCARE shows you exactly what would be minted — grouped by banking day and by settlement channel (FPX, cash, bank transfer, e-wallet, cheque…) — before anything is written. Nothing is generated until you’ve run this and cleared any blockers it shows.
-
Check the excluded rows. Voided, pending, failed, cancelled, draft, zero-amount and test donations are all left out automatically, each listed with the reason why.
-
Select Generate, then download the ZIP once it’s Ready.
-
In SQL Accounting, choose File → Import → XML and select the downloaded ZIP.
What this means in practice
Section titled “What this means in practice”Do
- Expect each donation to be covered by exactly one export document, ever. If something about a covered donation changes afterwards, it’s flagged as Changed or Reissued in the export history rather than silently vanishing from the books.
Don’t
- Expect this to be a two-way sync. DonorCARE never talks to SQL Accounting directly — the ZIP is the whole handoff, and importing it is a manual step every time.
If something goes wrong
Section titled “If something goes wrong”| What you see | What it means | What to do |
|---|---|---|
| A blocker about currency | The date range includes a donation not in Malaysian Ringgit | Narrow the range, or handle that currency’s donations separately |
| A donation you expected isn’t in the preview | It’s voided, pending, failed, cancelled, a draft, zero-amount, or a test donation | Check the excluded-rows list for its reason — this is expected, not a bug |
| SQL Accounting rejects the file | The ZIP wasn’t imported through File → Import → XML | Re-download and re-import using that exact menu path |
